The Assistant Property Manager provides essential back-up to one or more centers' Property Manager and is primarily responsible for providing operational support for the day-to-day functions of the properties. The Assistant Property Manager must exhibit and maintain a high level of efficiency and organization while creating a professional and cooperative environment.
•Assists Property Manager in collecting rents, resolving tenant problems and handling tenant requests, including ensuring that tenants abide by the terms of their lease. •Maintains Property Operating Manual. •Corresponds with tenants and vendors as necessary. •Prepares and processes lease-related correspondence, vendor service agreements, miscellaneous work orders and notices of non-responsibility. •Monitors aged delinquency reports weekly, request payments and prepare default letters under the instruction of the Property Manager. Contacts tenants to collect past due balances. •Processes invoices and generate tenant back-charge invoices as required. •Assists with the day-to-day supervision of maintenance, security, and landscape staff. Reviews security and maintenance reports daily and authorizes repairs, as appropriate. •Works with vendors in resolving operational issues. Responds promptly, effectively and in person to property emergencies and promotes work place safety. •Ensures proper reporting of injuries/property damage at the center(s). Facilitates reporting accident and injury claims with insurance company and manages their disposition by the insurer. •Assists Property Manager with preparation of Annual Business Plans and, as appropriate, represents the center in the local business community. •Works extended hours, including weekends, and dealing with any overnight emergencies as necessary to achieve desired results for the property. •Handle the front desk including answering phones. •Performs other duties as assigned.
•Position requires a Bachelor's degree in Business Management, Communications or a related field or and equivalent combination of education and experience. •Position requires a minimum of two (2) years of experience in property management, preferably in a retail center. •Incumbent must be proficient in MS Word, Outlook and Excel. •Demonstrated experience with accounting software (e.g., MRI, Yardi). •Ability to manage multiple tasks simultaneously. •Excellent written, verbal and organizational skills. •Attention to details and accuracy. •Strong interpersonal skills. •Flexible outlook towards task management. •Ability to work in fast-paced and sometimes stressful environment. •High level of professionalism and self-motivation.
