Discovery Coordinators provide administrative and event support to the Seattle Symphony Education and Community Engagement Department. An example of responsibilities are Tessitura data entry, record keeping, and communicating reminders to program participants. Discovery Coordinators will also assist during Education & Community Engagement concerts and events, including set up and tear down of pre and post-concert activities.
Essential Job Functions:
Provide excellent customer service, creating a welcoming environment for guests
Respond to and direct inquiries in person, over the phone and by email
Ensure the Education & Community Engagement office is in good condition; manage office supply inventory
Attend, participate and take detailed minutes in meetings
Assist in preparation of regularly scheduled reports
Provide project support to managers including: filing, researching, and collecting information
Data Entry & File Maintenance
Maintain records, process sales, and update information accurately in Tessitura database
File lesson plans and unit plans; track attendance numbers in excel spreadsheets
Ensure Education & Community Engagement instruments are tuned and cleaned before events
Protect instruments during events by keeping them in cases or next to a Symphony staff member
Educate patrons and students on instrument safety rules
Oversee instrument maintenance supply inventory and request new supplies as needed
Report any damages immediately to supervisor
Concert & Event support
Provide excellent customer service and respond professionally, in person, by phone, and email to internal and external stakeholders
Prepare materials, gather supplies and order hospitality in advance of the event
Assist in set-up/tear-down at events
Assist in coordination and implementation of event, supporting the day-of priorities as needed
Collect artistic planning information from guest conductors, artists and other Artistic staff to create, update and disseminate program pages and other artistic planning documents.
Serve as interface with other SSO departments on all matters of program pages, artist and repertoire; manage communication of all updates regarding artists and repertoire.
Proofread all publication materials for accuracy in the program listings, instrumentation, and other information maintained on the program pages.
Manage Special Projects including Composition and Musical Competitions and Assistant Conductor Searches.
Manage all components of Electronic Media including mechanical rights, production materials and soloist contracts and payments.
Serve as Seattle Symphony Chorale Liaison; Duties include scheduling and liaising with Chorale personnel, rehearsal venue, pianists and librarians on all matters of Chorale operations.
Assist in artist liaison duty and concert duty as needed.
Other duties as assigned.

Discovery Coordinators are expected to 20-hours per week. Evening and weekend availability a plus.
