Provide administrative support and work as part of the administrative team providing general office management and office coverage in the Division of Pediatric Nephrology, a fast paced office environment serving a division of combined research and clinical responsibilities. Duties and Responsibilities:
Provides administrative support to the Division Chief, faculty, and staff to include maintaining calendars, arranging and preparing for meetings, preparation and editing of correspondence, occasionally transcribing meeting notes, preparing and maintaining required reports, and processing online payments & travel reimbursements.
Answers telephones, screens callers, relays messages, and greets visitors.
Coordinate the service of office equipment as well as ordering supplies using the purchasing system.
Coordinate special projects and events.
Provide back up support to medical office coordinator when needed.
Provide support to faculty with curriculum vitae's, letters, manuscripts, and grants as needed.
Assist the Admin Manager with monitoring, reconciling, and analyzing grant activity through termination to ensure revenue is collected, payroll, transfers, and expenditures are applied to sponsor accounts as appropriate per sponsor and JHU guidelines.
Scope of Responsibility:
Knows the formal and informal divisional and departmental goals, standards, policies and procedures, which may include some familiarity of other departments within the University.
Is sensitive to the interrelationship of both people and functions within the division.
On a regular and continuous basis, exercises administrative judgement and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.
Operate personal computer to access e-mail, electronic calendars, and other basic office support software such as PowerPoint, Excel, and Microsoft Word.
Ability to answer a multi-line telephone system and field calls as appropriate.
High School Diploma/GED
Three years related experience
Additional education can be substituted for experience to the extent permitted by the JHU formula
Equivalency Formula: 30 undergraduate degree credits or 18 graduate degree credits = 1 year of experience. For jobs where equivalency is permitted, up to two years of non-related college coursework may be applied towards the total minimum education/experience required for the respective job.
Excellent interpersonal and organizational skills
Experience in the use of software applications, databases, spreadsheets, and/or word processing required.
Experience with SAP is preferred
Experience in a research or University setting preferred.
