Organizational Summary The Office of Admissions is responsible for recruitment, admission and yield activities impacting the enrollment of undergraduate students at the University of South Florida. Approximately 55,000 admission applications are processed each year, augmented by academic credentials (e.g., high school and/or postsecondary transcripts, test scores, residency affidavits, conduct/disciplinary documentation, etc.) for each applicant. At the present time, the team includes approximately 50 full-time, permanent positions, four OPS temporary staff and 35 federal work study student assistants. The office includes the following units: Director - to include administrative support and budget management Communications, Operations and Training - Communications - includes incoming and outgoing mailroom operations, email communications, publications and website management - document imaging and management, admissions application management, and application fee audit -web reporting and data analysis for Undergraduate Admissions and Enrollment Planning & Management; admissions staff training for USF Tampa, USF St. Petersburg and USF Sarasota-Manatee.
Position Summary Collaborates with the Director and Associate Director in the communications, planning, organization and direction of recruitment of prospective freshmen and transfer to USF Tampa campus with an emphasis on high ability, first¬ generation college, and out-of-state students. Manages the direction and executes initiatives and programs in support of freshman and transfer recruitment and outreach. Develops programs and activities to meet established high ability and outreach/access enrollment goals and monitors unit's progress to goal achievement. Supervises the undergraduate recruitment team in the Admissions Office for administrative, data and travel related operations. Identifies, analyzes, interprets and resolves problems referred by staff. Determines appropriate courses of actions when alternatives are not clearly defined and exceptions to procedure and practice are requested or required. In the absence of the Director and Senior Associate Directors, has the authority and responsibility to act for the Director. Identifies, analyzes, interprets and resolves problems referred by staff. Determines appropriate courses of actions when alternatives are not clearly defined and exceptions to procedure and practice are requested or required. In the absence of the Director, has the authority and responsibility to act for the Director. Identifies enrollment objectives and documents trends and issues that are likely to affect enrollment. These efforts include prospect development and yield enhancements activities, information services and problem resolution.
Collaborates with the Director, and Associate Directors to coordinate in and out of state recruitment initiatives to include high school and community college visits, college fairs, special events, and campus visitation programs. Develops and participates in implementation of USF's recruitment programs designed to inform prospective students about USF including College Day/College Night programs, College Fairs, special visits to high schools, on and off campus programs for students, parents, counselors, etc.
Supervises the recruitment team in the Undergraduate Admissions Office for administrative, data and travel related operations.
Prepares regular recruitment activity reports, statistical analyses, and enrollment projections. Collaborates with the Director in formulating/revising policies affecting Admissions Office functions coordinates the development, implementation and interpretation of operating procedures recommends annual budgetary needs for assigned areas of responsibility.
Participates in the processing and evaluation of undergraduate applicants to determine admissibility. Develops outreach to students, parents, guidance counselors, IB Coordinators, and other constituencies for designated areas or populations. Serves as resource person for USF partners and Colleges.
Manage a geomarket/recruitment territory (to include in-state and out-of-state) by actively traveling to high schools and two year colleges to provide advising services and meet with counselors, parents, and prospective USF students, coordinate alumni-admission functions, attend college fairs, and maintain regular contact with prospects, applicants and counselors. Conduct dynamic presentations and effectively answer questions about admission and application requirements and processes. Provide admission counseling and information sessions with visiting students and families, in person and in group settings, and by telephone, correspondence, and email. Aid in public relations and general recruitment programs.
Facilitates in the management and supervision of the Enrollment Management Specialists who provide frontline customer service for the Office of Undergraduate Admissions as well as inbound telephone coverage for Admissions and University Scholarships and Financial Aid Services.
On a regular basis, interacts with members of the recruitment and outreach team to evaluate and review the overall progress of the team. Discuss areas of concern or situations and issues encountered within the unit. Provides at a minimum biweekly status meetings with direct reports and holds monthly team meetings to keep staff abreast of changes and assist with the development of the overall goals and initiatives of individuals, the teams and the office.
Manages the search process for vacant positions on the recruitment and outreach team and recommends candidates to the Director for hire. Provides initial training for new employees and continuous training for current employees. Prepares and conducts performance evaluations for direct reports and assists supervisors with performance evaluations of their staff. Reviews and acts on leave requests, staff time sheets accuracy and makes appropriate personnel recommendations as warranted.
Seeks out and maintains contacts and partnerships within both the internal and external communities associated with USF develops necessary formal and informal networks with professional colleagues throughout the region, state, and nation as well as within the international community. Represents USF's Office of Undergraduate Admissions on various university committees and within professional associations as deemed appropriate and necessary by the Director. Supports staff on campus visitation team to do the same, according to individual job functions and performance.
Assists in the preparation and management of the Office of Undergraduate Admissions annual budget. Based on the specific programming functions of the office, participates with the Director in determining unit priorities to support USF's strategic initiatives.

Minimum Qualifications Bachelor's Degree in Higher Education, Marketing, Communication, Administration or other related field or related field and a minimum of five (5) years exempt/professional higher education admissions experience or a Master's Degree (same fields) and three (3) years exempt/professional higher education admissions experience.
Preferred Qualifications Experience working in an Admissions office, student recruitment and retention, and managerial or supervisory experience preferred. Demonstrated experience using multiple software applications and information systems. Extensive knowledge and implementation of quality customer service and related support. Fluency in a language other than English. Spanish and or Haitian Creole is preferred.
