Meets with faculty quarterly to determine course needs and develop a timeline for providing support for the term, including:
Coordinating arrangements for visiting lecturers quarterly, including parking, and providing directions and facilitating communication on behalf of faculty.
Proctoring exams as needed, including Kaplan, Examsoft, or other course related exams.
Scheduling and arranging for audiovisual equipment for classes and reserving needed equipment.
Prints course rosters the first week of each term and works with faculty to correct any discrepancies by communicating with student and the registrars office.
Uploads postings and other course related materials as required during the quarter, including articles from the library, quizzes/tests, power points that accompany weekly lectures and other just in time materials
Provides updated book lists to students and to the bookstores, including price and ISBN, per guidelines and clarifies with the faculty of records of any discrepancies that need to be addressed.
Maintains an electronic and two hard copies of all syllabi both quarterly.
Maintains department computer and equipment check systems weekly and follows up on equipment that has not been turned in and or that needs to be repaired or updated, including performing computer updates quarterly.
Makes copies of course related paper work, including academic warnings and incompletes and notifies appropriate administrators (ccd on forms) via electronic mail and scans documents.
Coordinates the editing, proofing, printing and distribution of course materials appropriately.
Keep student files up to date by filing weekly.
Schedule use of simulation lab, course break out rooms, grand rounds, videotaping related to the course and keeps record of communication and confirmations related to these schedules to be referenced by faculty of record weekly.
Works with the SON placement coordinator if questions arise about clinical site information and orientation materials that faculty and students reference as part of the course quarterly.
Initiates group email communications as needed with program faculty, students and other academic committees or groups related to courses, programs and ILCs.
Responsible for maintaining the security of student files, maintaining the log-out system, and providing appropriate access for students and faculty who request access to files.
Works in collaboration with the clinical placement associate by keeping them up to date on changes to current site or student placement information during the quarter.
Assists with the orientation for new students, faculty and staff, and participates in events such as admissions, convocation, graduation as needed.
Provides technical support to faculty with Outlook, PowerPoint, Excel, Internet, and data base technologies (Banner) as needed.
May assist with program data entry projects, quarterly and as needed for admission, graduation and/or other specialized projects where additional support is needed.
Responsible for technology support for the campus including maintaining computer, simulation and equipment inventory; providing orientation and training for media and simulation equipment, software applications; video conferencing support; and working with key stakeholders involved in technology on the host campus daily.
Public Relations Support
Responds daily to phone calls and email from the public and OHSU community pertaining to academic courses and programs, responding with a professional level of proficiency and integrity.
Responds daily to priority requests re-adjusts workload as needed and keeps the academic manager and faculty appropriately informed
Participates in committee meetings, sets agendas, assists with meeting arrangements, and takes minutes as assigned.
Simulation & Course Support
Provides daily support for faculty teaching in both high fidelity and low fidelity labs. Including:
Ordering and organizing the appropriate stock of simulation lab materials.
Organizing and participating in the set-up and cleanup of supplies and situations for simulations.
Participating in simulation scenarios.
Operating and assisting in running technical equipment for simulation.
Helping with other projects that facilitate learning activities in the simulation lab, such as indexing and editing recorded material
Assisting with editing of non-clinical aspects of simulation templates
Participating in recruitment and non-clinical training of standardized patients/actors
Four years of general office or secretarial experience; OR An Associates degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelors degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience.
Prior experience working in a team- oriented environment.
Manage time with frequent interruptions. Ability to re-prioritize work to meet multiple and competing deadlines.
A successful candidate will need organizational skills, flexibility and willingness to get the job done
Recent (past two years) experience and competency in MS Suite applications, e.g. Word, PowerPoint and Excel, willingness to learn other applications if needed; Knowledge of FileMaker Pro, Access, Oracle, Banner ISIS and outlook preferred; Typing 40+ wpm; High level of organization and prioritization skills required to complete work in a timely and efficient manner; Excellent grammar, punctuation and spelling; Highly developed and experienced interpersonal communications skills, both verbal and written
