Position Type and Expected Hours of Work: This is a part time position and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 pm. Occasional evening and weekend work may be required as job duties demand. Note: This position is in the "NL" category of employment (non-fixed work week) and have no claim or entitlement to time off or cash compensation for hours worked beyond their normal schedule. However, unusual requirements for additional work time by these employees may be compensated by allowing roughly comparable amounts of time off, provided prior approval is given by the supervisor and Unit Head.

Undergraduate students choose to concentrate their studies in one of five schools with more than 539 course offerings and 36 academic programs. The Billing Coordinator works closely with CIPL unit staff in meeting unit revenue goals and objectives. Completes, submits, monitors and tracks extensive weekly required reports and other correspondence related to training grant students and employers enrolling in CIPL programs. Performs billing computations and coordinates paperwork including student attendance time sheets, course modification forms, academic progress reports, payment vouchers and other documents necessary for billing the NJ Department of Labor and other training grant awarding organizations. Independently establishes and maintains relationships with DOL accounts payable staff to secure timely processing of bills/grant payment requests. Uses the DOL's online SAGE system for employer grants billing. Uses Microsoft Office applications, especially Excel and Word, to track paperwork flow and generates reports on funds requested in relation to funds received. Performs other related duties as required.
Completes, submits and tracks tuition grants paperwork in SAGE online system in collaboration with program coordinators/faculty/instructors per procedures outlined by the NJ Department of Labor and Workforce Development, and billing paperwork for Unemployment/One-stop Career Centers and other grant funding government agencies while following applicable principles, laws and regulations which vary by every county and state. 35%
Performs billing computations, and coordinates attendance records, academic progress reports, and faculty signatures with faculty and submits same to government agencies. Develops, implements and communicates related procedures and coordinates with program faculty. 25%
Serves as the college liaison to accounts payable staff at Unemployment/One-Stop/WIOA government agencies, establishing and maintaining cooperative working relationships in the course of billing for and collecting contracted unemployed persons' tuition grant payments. 20%
Tracks student tuition partial check payments from agencies for the duration of each student's attendance using Microsoft Office applications, especially Excel and Word. Tracks paperwork flow and generates reports on funds requested in relation to funds received. 15%
Communicates with training grant students in the course of coordinating required paperwork and student signatures. 5%
One to two years of secretarial and/or accounts payable/billing/collections experience. Experience with processing grants accounts payable paperwork preferred.
High School diploma.
NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis.
KNOWLEDGE AND ABILITIES:
Ability to be self-motivated to work independently with strong follow-up required.
Ability to perform billing computations such as applying hourly rates, percentages, and other mathematical calculations to produce invoices.
Ability to prepare statistical and other reports.
Knowledge of secretarial and other office routines, procedures, and practices, and their application to specific situations.
Ability to read and interpret department regulations, programs, standards, and procedures.
Ability to use correct English, to spell correctly, and to use correct sentence and paragraph structure.
Proficiency in Microsoft Office suite, particularly Excel and Word.
Ability to learn and utilize college IT systems.
Ability to communicate and process requests for information in accord with established procedures.
Ability to prepare routine correspondence.
Ability to maintain confidential, follow-up, fiscal, and other records and files.
Ability to read, write, speak, understand, and communicate in English sufficiently, to efficiently and effectively perform the duties of this position.
