The Confidential Executive Assistant will primarily be responsible for the President's schedule, general correspondence, and communications with the Office of the President. The successful candidate will field requests from faculty, staff, students and other stakeholders to meet with the President.In addition to the CUNY Title Overview below, the Confidential Executive Assistant will assist with the planning and execution of a variety of confidential and time-sensitive projects, including but not limited to: annual commencement ceremonies, alumni, donor and other fundraising activities, Stated Meetings of the Faculty and annual holiday parties.The Confidential Executive Assistant also coordinates regular meetings with CUNY executives, including weekly meetings with the President's cabinet, and regular meetings with the CUNY Chancellor, members of the Chancellery and CUNY Board of Trustees. Other essential duties include the preparation of appropriate briefing materials or other documents.Evening work may occasionally be required.QUALIFICATIONS * Bachelor's degree and four years' related experience required. * The successful candidate will be a motivated and enthusiastic self-starter who uses sound judgement, exercises discretion and tact, and functions well in a fast-paced environment. * Ability to handle sensitive communications, situations and problems professionally, discreetly and with diplomacy. * Advanced experience with management of a complex calendar, including screening and vetting meeting requests; arranging travel itineraries. * Mastery of standard office computing software, including Microsoft Office Suite, (Outlook, Excel, PowerPoint) * Strong customer service skills. * Articulate, highly resourceful, well-organized, detail-oriented, and flexible. * Excellent interpersonal and strong written and verbal communication skills. * Ability to work with respect and sensitivity to an academically, culturally, and linguistically diverse students, staff, faculty and senior administrators. * Ability to work independently, as well as collaboratively with office team. * Ability and flexibility to work occasional evening hours is required. * Experience engaging with a broad range of ethnic, cultural, socioeconomic, geographic, and ability backgrounds preferred.CUNY TITLE OVERVIEWSupports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities. * Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule * Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community * Organizes, creates, and distributes key, complex management reports with a high degree of accuracy * Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities * Procures required internal and external resources and services and manages their utilization * May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing * Participates in special projects and efforts to improve unit effectiveness * Performs related duties as assigned.This position is excluded from union representation.CUNY TITLEHigher Education AssistantFLSANon-exemptCOMPENSATION AND BENEFITS$47,340 - $61,593; Salary commensurate with education and experience.CUNY's benefits contribute significantly to total compensation, supporting health and wellness, financial well-being, and professional development.
