Job Requisition Number: 23511. The College of Environmental Design (CED) operates three academic departments ? Architecture, City and Regional Planning, and Landscape Architecture and Environmental Planning ? conferring both undergraduate and graduate degrees. CED has 55 full-time and 35 part-time teaching faculty, 44 career staff, and over 1,000 students. The operations of the College are financed with state funds, gifts and endowments, professional master?s level program revenue, and other revenue sources in an amount roughly totaling $18,000,000 annually. The Department of Architecture is the largest of the three departments with 30 full-time and 32 part-time teaching faculty, 5 career staff, over 390 undergraduates and 180 graduate students, and an annual budget of approximately $9,000,000. The department grants degrees in the following areas: B.A., M.Arch (professional degree in Architecture), M.S., and Ph.D. The Architecture Department is seeking an administrative professional with event planning and graphic design skills to serve as a Special Projects Coordinator. The coordinator will work closely with the Department Chair on special programs for the department, providing direction and organization. The coordinator plans and manages all logistics of special department events and also participates in college-wide events. The coordinator also designs graphics for posters, displays, websites, a wall monitor/kiosk, and exhibitions. The coordinator will work closely with faculty and students on special student exhibits and reviews.
Work collaboratively with the chair, department manager, staff, faculty, and students toward the common objective of delivering a wide variety of administrative services for the Department of Architecture, but with a focus on event planning and graphic design. Provides a variety of planning and analytical duties in support of the Architecture Chair and the Architecture Department. Specifically, the position functions as Assistant to the Chair, coordinating the calendar, meetings, and access. Coordinates with Chair and faculty to budget, schedule, and arrange the Architecture Lecture Series and Final Reviews, and arrange guest critics travel, food, and payments. Functions as the departmental faculty liaison, responding to requests about administrative and UC policy matters. Coordinates for the department the CED Circus scheduling, soliciting faculty selections, and coordinating student participants. Along with the Dean?s Office, coordinates exhibition schedules across departments for each school year, and promotes department events via a kiosk/wall monitor, posters, emails, and direct contact with participants. Responsible for the department?s ?brand? on the web and updating faculty, visiting professors, news and event listings. Functions as faculty and student liaison regarding studio policies, and directing them to appropriate resources. Works with Undergraduate and Graduate students guiding them on gathering materials, designing and publishing the Annual Student Workbooks. Prepares and tracks project budgets. May supervise student workers. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Reports to Department Manager. Work may extend to some evening and weekend hours.?Thorough knowledge of and experience with University, Campus, College, and Departmental policies, regulations and procedures, especially with regard to travel/entertainment, honoraria, graphic/website design, and risk assessment. ?Demonstrated organizational and project management skills to produce high quality events that meet client needs and appropriately represent the department, college, and campus. Excellent donor stewardship skills. ?Excellent written and verbal communication skills to communicate effectively with all levels of faculty, administrators, staff, students, and professional architects/designers/planners. Multicultural competencies and ability to work with diverse populations required.
