The HUB has an outstanding opportunity for an Assistant Director of Finance & Business Operations. This position is responsible for the accounting and financial operations of the Husky Union Building (HUB) and related services.
Duties and Responsibilities:
Budget, Transaction, and Operational Management
In association with Associate Director, manage the budget processes for HUB's self-sustaining, state, and Services and Activity Fee budgets. Assist in the preparation and defense of budget requests for student fees and state funding.
Direct the preparation of financial transactions, ensure compliance with generally accepted accounting principles and with state and University accounting policies, manage departmental preparation for audits, prepare financial reports for distribution to other unit managers, work with auditors during audits of financial statements.
Prepare journal vouchers, cost transfer invoices, and other documents to transfer funds to and from various budgets for RSO allocations, recharges, budget allocations, reconciliations, and other transfers.
Maintain system of internal controls, ensure accountability and proper authorization for transactions, security over cash and other assets, and propose enhancements to respond to changes in operations.
Develop, implement, and interpret financial policies and procedures affecting all HUB and supporting units to ensure compliance with generally accepted accounting principles and state and University accounting policies and records retention schedules.
Design, develop, and manage financial tracking, accounting and reporting systems. Monitor departmental budgets, prepare and present reports to Director and Associate Director as needed and make recommendations in response to changing operating circumstances. Translate complex financial data into general summaries.
Provide budgetary assistance to other departments/units (i.e., Q Center, D Center, Student Legal Services, Fraternity and Sorority Life, Student Veteran Life, etc.) as prescribed by Associate Director and Director.
Assist in the advising of GPSS and ASUW financial and budgetary operations.
Business Operations and Financial Planning
Prepare, analyze monthly financial reports and other financial information as required. Prepare financial forecasts and long-range planning of self-sustaining budgets.
In collaboration with the Director's Team, identify and develop business plans for future partnerships and revenue sources.
Develop and recommend operational goals, policies, and procedures. Work with HUB staff on special projects.
Security Role designee in HR/Payroll system authorized to perform basic HR/Payroll onboarding and maintenance transactions, including I-9 verification. In collaboration with the Finance Team, oversee the payroll functions of the HUB and supported units. Serve as a member of the HUB/HR/Payroll Modernization Readiness Team.
Monitor leased operations, fiscal reports and lease compliance (i.e., branch bookstore, banks, ATM's, style shops). Maintain a monitoring system to report lease end dates so timely review can occur.
Supervision of the Finance Unit
Provide strong leadership and supervision for the HUB finance tram. Responsible for the selection and supervision of 3 full-time staff and approximately 4-5 student staff. Assist Student Technology student assistant with payroll paperwork.
Develop and monitor accounting and cashier unit budgets, authorize and control expenditures, develop plans for future expenditures.
Maintain internal accounting computer network, develop policies and procedures for accounting unit.
Serve on the HUB Leadership Team. Assist in the development of a long-range, strategic vision for the union facilities.
Membership in various HUB, University, and student committees.
Related duties as assigned.
Supervision Received from the Associate Director.
REQUIREMENTS: Bachelor's degree in business, public administration, or related field and 3-5 years demonstrated experience in financial management, accounting and auditing. Experience with computers, fund accounting, and other financial software as well as Microsoft Office applications. Experience with accounting best practices. Experience with supervision of staff. Excellent verbal and written communication skills; ability to communicate diplomatically and effectively with staff and students alike. Strong analytical skills. High attention to detail and accuracy. Demonstrated high level of professionalism and judgement.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED: Experience with budgeting and financial analysis. Experience with human resources and payroll operations. UW or higher education experience highly desirable. Experience supervising full-time staff.
