Summary of Job Function:
This position provides administrative, secretarial and clerical support to members of the Corporate Finance Departments to maintain an efficient office environment.
Main Job Responsibilities:
answer phones and transfer to the appropriate staff member
greet and assist visitors and guests to the appropriate personnel and office
coordinate messenger and courier service
receive, sort and distribute incoming mail to appropriate staff members. Prepare outgoing mail and UPS shipments.
responsible for photocopying, faxing and scanning
maintain office filing and storage details with offsite storage vendors. Retrieve information when requested.
update and maintain databases such as mailing lists, contact lists and vendor information
type documents, reports and correspondence
monitor and maintain office supplies from procurement through delivery
ensure office equipment is properly maintained and serviced
keep office area clean and tidy
Process all check requests and purchase requisitions for various departments of Corporate Finance
Assisting with special projects, running reports in Excel, and creating PowerPoint presentations.
Manage calendars, using MS Outlook, to schedule meetings and conference calls
Make bank deposits of incoming checks via scanning process
Support staff in assigned work
Coordination with other departments re: new employees, i.e. computers, phone, workspace, supplies, access to networks, etc.
Coordinate the appropriate procedures for terminated employees
Other duties as assigned
Associates Degree and at least 5 years of work experience preferably in a finance department
MS Office proficiency: Word, Excel, PowerPoint and Outlook
Must be proactive and able to prioritize multiple takes and establish and meet deadlines
Must be able to work in a fast paced environment, work well under pressure and have the ability to adapt to a constantly changing environment
Must be a committed, reliable and responsible employee that will take ownership of the job
Must possess organization and planning skills, excellent verbal and written communication skills, decision-making ability and attention to detail
Ability to work with different types of personalities, a dedicated team player
