Under the direct supervision of the Finance Director for Berklee Online this position serves as a key member of Berklee Online’s Student Services team.
This position is a Certifying Official for all Berklee Online students including those enrolled within our degree offerings, and certificate programs. This position serves as the point of contact for all veteran and military students enrolling with Berklee Online and provides general support regarding veteran’s benefits, tuition assistance, and billing. Serves as a liaison for veteran students as they navigate through the admissions, financial aid, registration, and retention process. This position serves as the primary point of contact for all students and family related Veterans Affairs, and Military finance related inquiries via phone and email. He/She provides impeccable customer service and handles all inquiries with a sense of urgency and care.
Essential Duties and Responsibilities:
Certify and track student eligibility in Veterans Administration system (VA Once)
Administer Veterans Benefits in compliance with federal and state laws, regulations, and industry standards.
Posts and disburses Chapter 30, 31, 33 & 35 Federal Benefits to student accounts within legacy student information systems, and Financial Aid systems. For students awarded federal Title IV funds, VA benefits are awarded in conjunction with SFS Counselors.
Coordinates posting of Third Party Sponsorships with the Campus Bursar’s office as needed.
Work involves classifying, posting, balancing, and receiving, and disbursing financial transactions.
Ensures all military affiliated students receive proper billing rate
Processes all sponsorships related to Berklee Online’s tuition assistance program including billing to third parties, corporations, and partners.
Generates invoices for agencies, and ensures billing is received
Supports the finance manager with collections as needed
Track, schedule and ensure Veteran funds are posted to student’s accounts.
Input data to notify VA of any changes that impact payment (decrease/cessation) of benefits
Ensures compliance with the Department of Defense Memorandum of Understanding
Reviews withdrawal requests and Updates VA Once system.
Reviews withdrawal requests for all students and coordinates with the Office of the Bursar to ensure any third parties are being refunded properly as needed.
Maintains a variety of Veterans Education Benefits student records physically and digitally. Maintains information for audit review.
Works collaboratively with the Office of Student Financial Services, and Office of Student Accounts to resolve student inquiries.
Proactively communicates with students to ascertain whether benefits are being utilized for the current semester.
Ensures all programs are active and populated within VA Once, and other military portals.
Develops veterans orientation program, and implements an online community, for Berklee Online Military students in conjunction with campus student activities center. Serves as a staff liaison to the campus student veteran organization.
Works to improve first year experience for incoming student veterans, military members, and families.
Develops and maintains relationships with the campus offices departments within the college community to support the needs of the veteran student population
Conducts ongoing analysis regarding veteran data relating to program services.
Attend annual and local VA conferences for updates on program and regulation changes
Attend recruitment and outreach events for veterans as needed
Ensures all military policies are accurate and up to date in collaboration with the Continuing Education Registrar, and Academic Programs Manager.
Proactively engages and communicates with Admissions, and Marketing on timing and awareness of their military-specific campaigns.
Proactively researches business development and expansion opportunities for Berklee Online with the military and advises the marketing and recruitment teams accordingly
Identifies business development opportunities in conjunction with Berklee Online admissions personnel to grow Military and Tuition assistance programs
Initiates the process for Berklee to become part of (SOC) Service members Opportunity Colleges
Maintains Berklee’s Military friendly status with Victory Media and other agencies as required.
Presents and performs trainings for all frontline staff regarding VA benefits

Working additional hours as needed during heavy enrollment cycles
Some travel may be required
Creates, Innovates, and identifies ways to improve the student experience
Supports the finance team with all student finance related inquiries via phone and email as needed
Strong interpersonal and follow up skills to conduct all relations with students, parents, faculty, administrative and support staff in a professional manner.
Ability to work quickly and accurately with minimal supervision.
Ability to communicate either verbally or in written form account summary information, Veteran Awards, and other billing charges as needed.
Strong problem solving and analytical skills.
Bachelor’s degree in a related field and a minimum of three years experience working as a Certifying Official and working with Veteran/Military Community.
Ability to function well under pressure and maintain a pleasant customer service attitude. Must be detail oriented, and a self-starter.
Experience with Colleague, Powerfaids, and Salesforce a plus.
Familiarity working in a large multi-campus college preferred
Experience building high-touch student programs related to veterans benefits programs
General working knowledge of financial aid awarding and financial aid processes
Knowledge of Title IV regulations, funds management, and financial accountability
Strong commitment to on-going improvements in customer service, improving service to students, internal and external customers
Knowledge of FERPA and college records and registration policies
Experience with working in high pressure environments while maintaining a high level of attention to detail
