The Scheduler will operate the switchboard to relay incoming, outgoing and interoffice calls by performing the following duties and is responsible for accurately scheduling appointments. Conducts physician office/patient interviews, and explains clinic procedure guidelines and policies. Coordinates with clinical and support departments on schedule modifications.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Operates telephone switchboard to make connections and relay calls; Relay messages from patients to clinic staff
Accurately access patient medical records
Maintains patient confidentiality as outlined by privacy and HIPAA guidelines
Obtains complete and accurate clinical, demographic and financial information during the scheduling process.
Schedules, coordinates and reschedules patient appointments
Accurately enters data in scheduling system or other applications.
Provides the customer with prep and other appointment instructions.
Follows guidelines for special requests/Stat/schedule modification procedures and coordinates communications with clinical areas to accommodate the customersï¿½ requests.
Answers telephone calls according to designated scripting for the scheduling process.
Maintains positive customer service at all times, referring unresolved issues to appropriate supervisor.
Notifies customer of physician order, pre-authorization and other financial clearance requirements.
Sorts and delivers incoming mail and performs other Administrative and Clerical duties as assigned.
Updates and communicates on-call schedule with answering service
Builds and maintains collaborative relationships with both internal and external Clients that lead to more effective communication and a higher level of productivity and accuracy.
Identifies opportunities to improve patient relations and shorten the time it takes to handle registration processes.
Reports any problems to Customer Service Center/Engineering, Technical Assistance Center, or S&K Telephone Services
Resolves Physicianï¿½s office and Patient issues. Must be able to manage extreme patient volumes and uncooperative Patients.
Attend all mandatory department meetings and other education, orientation and/or training as required by St James Healthcare.
Participates in facility Quality Improvement/IOP Program.
Follows policies and procedures for infection control and facility safety in accordance with regulatory guidelines.
