This position provides clerical support for the Science Education/STEM Education Department Chair and STEM Teaching office. The position performs services such as student services, faculty support, office management, budget reconciliation, grant and contract monitoring, payroll processing, records management, report preparation, print and equipment resource control, supervising student staff, and managing the student intern program.
Office Management - Provides secretarial support to the Science Education Chair and STEM Teaching Co-Directors and the faculty, staff, and students associated with this department and program - Facilitates clear and timely communication on all matters regarding faculty/staff, university administrative units, facilities, and resources - Assists supervisors, faculty, and staff in scheduling meetings and courses - Provides support for department faculty and courses taught at University Centers and other off-campus sites - In consultation with faculty and staff, type, copy, scan, and/or fax a variety of materials, including memos, examinations, publications, research grants, reference letters, and course materials - Organizes and maintains the departmental/program filing system and assists in assembling and maintain departmental/program records and documentation - Records and reviews meeting minutes at departmental and program meetings - Provides support for faculty, staff, and student searches and hiring - Manages paperwork for student interns
Equipment Loan Program Coordinator - Uses computer system to monitor equipment, supplies, and chemical inventories, including equipment checkout, counting, and ordering for the Science Education Department, STEM Teaching, and Equipment Loan - Supervises Equipment Loan student staff - Order and receive supplies and materials for Equipment Loan Program
Fiscal Support - Reviews and reconciles departmental/program budget accounts with supervisors, faculty, and staff - Manages and reconciles external grant funding budget accounts with supervisors, faculty, and staff - Performs monthly tracking of revenues, expenditures, and encumbrances to keep an up-to-date record of the funds remaining in each account - Orders and receives supplies and materials - Assists supervisors in preparation of annual budget reports/narratives/requests - Manages, monitors, and reconciles Procard expenditures - Facilitates submission of faculty/staff/ student forms and reimbursement of funds for travel and purchases made outside the University system - Facilitates travel arrangements for faculty, staff and students; maintain records of travel itineraries and assist in compiling final travel expanse reports - Signs and processes student payroll
Supervisor Duties - Actively engages in recruitment and hiring new employees; - Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Increasingly responsible clerical/secretarial experience in an office or academic environment;
Demonstrated ability to provide excellent customer service, including listening to customers, identifying issues, providing options, fulfilling services, and exercising knowledge of procedures to assist others
Experience working with people of diverse backgrounds and experiences such as students, staff and faculty.
Experience using Office software (i.e., Word, Excel, Access, Outlook), email and/or similar software applications to produce written correspondence, create and maintain spreadsheets, databases, and receive and respond to email inquiries, tasks, scheduling, etc.
Experience working with budgets, including budget reconciliation
Demonstrated ability to effectively organize multiple work assignments, involving competing priorities to produce work products that are accurate, of high quality, and meet deadlines
Experience establishing an office filing system including electronic and manual files
OR any combination of education and experience which clearly demonstrates the ability to perform the essential functions of the job.
Competence in on-line ordering and managing a stockroom of science materials and equipment (e.g., models, analytical balances, sensitive electronic equipment)
Experience with an electronic calendar
Experience with web page maintenance
Demonstrated ability to manage student employees

Pay,Benefits, & Work Schedule
Salary: $2792/month with periodic increases up to $3627/month
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / PSE Bargaining Unit 4
Working Conditions: Duties are performed primarily in an office setting with frequent in-person interactions. Incumbent must be able to meet the physical demands of remaining at the work station for extended periods of time, using repetitive arm, hand, and finger movements. Some lifting and moving objects may be required.
