Assignments and projects are varied and complex with longer work cycles and often involve coordinating, prioritizing, and monitoring more complex and longer term projects through their completion with accountability for end results and work performed by others, and address a wide range of problems, which require interpreting policies and procedures.
Maintains complete and accurate records of, but not limited to: contracts, lease agreements, Memorandum of Understandings (MOUs), authorized signatures lists, and safe combination change forms for all EA departments in a centralized location; responsible for creating and maintaining filing systems; coordinating and working collaboratively on special projects; coordinating office assignments and requests; purchasing and maintaining office supplies using university-approved guidelines; assisting department staff by providing administrative and general support; and accesses PeopleSoft, Blackboard, Caterease, Quickbooks, and other EA programs for information.
In collaboration with EA Administrative Staff and student assistant support, the incumbent will actively identify administrative needs to support EA departments and develop appropriate solutions or recommendations to enhance and create efficiencies in processes. Participates in and leads components of larger projects, and performs standard assignments with accountability for work results. Assignments are varied involving the use of judgment, and courses of action are guided by interpretation of policies and procedures. Regularly sets own priorities, handles multiple priorities, and may help set priorities of others. Primarily responsible for own work results, but may be responsible for assigning and reviewing the work of others.
Cross trains and provides ongoing administrative support to all departments in EA; including having responsibility for knowing processes and procedures outside of their assigned areas.
May provide work direction and/or training to other support staff, and hiring input and leadership for student assistants.
The incumbent also responds to phone, e-mail and in-person inquiries; researches and responds to inquiries from external vendors and/or clients, EA departments, other campus departments; and provides word-processing and spreadsheet support using Microsoft Word and Excel.
Secondary Duties: Performs other secondary duties as assigned.
Work Environment: Duties take place mostly in an office setting located in the EA department at Sonoma State University. The normal work schedule is Monday through Friday, 8:00 am to 5:00 pm. Overtime, evening and weekend hours may be required and will be specified only by the supervisor to meet operational needs. The incumbent must maintain regular and acceptable attendance at such levels as is determined by the Appropriate Administrator. As a non-exempt employee, any request for overtime will be specified and pre-approved by Appropriate Administrator.
