Position Summary and Responsibilities
Provides administrative assistance and operational support to science departments at Vassar College, with primary responsibilities to chemistry. Typical administrative assistant responsibilities include: serving as primary contact for students, faculty, staff and guests; responding to inquiries; tracking departmental and grant budgets; processing purchase orders for materials, chemical reagents, and stockroom supplies; purchasing supplied for and coordinating lectures and events; assisting faculty with course preparation and professional travel arrangements; entering information into databases; responding to building access requests; establishing and maintaining records such as student information, thesis requirements, and prizes; scheduling appointments and maintaining calendars; scheduling classroom space; updating course catalog copy, publications, staffing plans, and websites; assisting with preparation of College and professional society reports; preparing and processing forms for special permission classes; requesting routine building maintenance; maintaining service contracts; maintaining supplies and office equipment; and coordinating the work of student assistants/interns with professors. Performs other duties as assigned.
This position is full-time during the academic year (42 weeks).
Qualifications The ideal candidate will have two to four years of administrative assistant experience and/or training. Strong computer skills are required including proficiency with Microsoft Word, Microsoft Excel, e-mail and internet browsers. Proficiency with budgeting and staffing plan tools preferred. Willingness and ability to learn new computer applications required. Excellent written and verbal communication skills and telephone manner are essential. Requires the ability to interact effectively with a diverse community of students, faculty, and staff. The successful applicant will have a professional, problem-solving demeanor; good judgment and discretion, including the ability to maintain confidentiality; strong organizational skills with attention to detail; and the ability to effectively manage deadlines and multiple, competing priorities. Must be able to work independently.
