The Program Coordinator reports directly to the Director of the Master of Science in Organizational Psychology program and assists the Director in a broad range of administrative and planning functions. This is a full-time, twelve-month position. Master of Science in Organizational Psychology reflect dynamic and vibrant nature of the field and aims to fosters rigorous, creative and innovative environment. The Program Coordinator works closely with the Director, faculty and staff and exercises initiative to support program excellence and facilitate quality student experience.
Manage the admissions process for completed applicants including coordinating applicant interviews, and working with the Director and program faculty on evaluating applications and making and communicating admissions decisions.
In collaboration with the Admissions office, meet or remotely communicate with prospective/inquiring students and provide and obtain information on as needed basis (e.g., obtain missing pertinent student information and answer questions about the program, prerequisites and prerequisite completion options, the organizational psychology field, and the application process).
Assist in the matriculation process by working directly with students, as well as collaborating with various university offices, and communicating the necessary information to incoming students.
In collaboration with the Admissions office, organize, plan, and assist with conducting the MSOP Informational Meetings for prospective students.
Assist re-entry students with transcript evaluation and advising support for curricular and catalog changes.
Assist admissions office with documentation and compliance with policies for international students.
In collaboration with the Admissions office, maintain the data on accepted applicants, including updated job and contact information, and maintain communication with accepted students as necessary. Facilitate transition of new student records from Admissions to Registrar.
Evaluate and track prerequisite approval/completion, GPAs and degree postings for incoming students and provide oversight of prerequisite requirement approvals.
Organize New Student Orientation; assist with adjustment to graduate studies including campus tours, Registrar and Financial Aid offices, library orientation, identification cards, e-mail account and security, and other questions related to the various student services provided on campus.
Track student progress on their degree plan/ perform transcript audit on a semester basis. Monitor student records for potential issues. Work with the Director and Assistant Director to address student specific issues and/or problems.
Perform transcript audit for final review before submission to the Registrar’s office for students applying for graduation.
Provide required documentation for students whose employers reimburse educational expenses.
Identify and implement ways to improve services to students in collaboration with other university departments by addressing issues that may impact student success and retention.
Advise and process Withdrawal, Leave-of-Absence, and Re-admission applications for students.
Assist with the registration process, including academic advising, changes to student schedules, maintaining wait lists and communicating with students.
Organize and help implement MSOP community activities and events.
Assist Director with ongoing program development, creation, assessment, modification, documentation, marketing, and program initiatives.
Maintain communication with the program Advisory Committee.
Collaborate with campus offices as needed.
Hire and manage student workers.
Organize and facilitate program events.
Attend departmental, graduate programs, and university meetings on an ongoing basis.
Assist with MSOP meetings.
Assist with updating and edit catalog for MSOP section, and update and maintain relevant student handbooks.
Assist Program Director in developing and submitting to the Registrar MSOP course schedules.
Develop cohort course calendars.
Manage and maintain current list of students and up-to-date contact information.
Administer program website and social media (Facebook, Linkedin) with timely and relevant content.
Maintain confidential student files.
Provide support for faculty as needed with regard to book orders, facility access needs, and other relevant tasks and projects.
Assist in program budgeting, and in ensuring faculty payments and reimbursements.
Identify risks to the organization within the department and discuss risk reduction options with immediate supervisor.
Perform other duties as assigned by the Program Director.
Master’s Degree in Psychology or Business preferred, with extensive program management experience, preferably in educational institutions. Outstanding candidates with other educational backgrounds will receive serious consideration.
Knowledge of graduate programs in psychology preferred.
Ability to handle confidential information, discretion, and excellent interpersonal skills.
Excellent verbal and written communications skills.
Technology skills in word processing, database, e-mail and web applications.
Organizational and administrative skills; the ability to coordinate multiple tasks concurrently and work both independently and as a team.
Occasional evening availability.
Ability to initiate systems and processes for effective program management, program marketing and advisement.
