Minimum Qualifications: Associate's degree in related field and a minimum of three years relevant administrative experience in an office/business role (preferably in a health care environment) or equivalent combination of education and experience required. Excellent written/oral communication, interpersonal, organizational, analytical, and computer skills required.
Job Standard / Operational Needs: The Administrative Assistant in the Medical Staff Service Department will provide administrative support to the Director and the Medical Staff Services Department at both campuses. Responsibilities include, but are not limited to, maintaining budget records, processing payments and deposits, and reviewing expenses against budgets for two distinct accounts; maintaining databases/spreadsheets and related systems to support departmental goals, objectives and functions; developing and/or modifying reports as appropriate, assisting or primarily responsible for department initiatives related to support of the organized medical staff; managing various projects related to the operative service needs of the department; assisting in and coordinating activities related to searches for vacant positions; resolving day to day operational issues by interpreting operating policies using extensive knowledge of the department's work; confidential medical provider matters, including health information, disciplinary information, and access to personal data necessitate judgment in the use of discretion and tact; managing the administrative suspension process; collecting and entering educational activities into Oracle database and internal file maintenance; providing customer support for the department to credentialed medical providers, applicants, and affiliated entities; and coordinating information and follow-through on administrative matters between the department, internal departments, and external agencies, including the Department of Health, DNV, and Hospital Executive Council. The Administrative Assistant will also be assigned front desk responsibilities, including renewing contracts and subscriptions, managing deliveries and shipments, and responding to or distributing phone calls, mail, and emails, as well as managing calendar scheduling, scheduling meetings, preparing agendas, securing room arrangements including scheduling, arranging for educational communication needs, and ordering and confirming catering services, attending meetings, finalizing and distributing minutes, and routine follow up to meeting outcomes as required.
