Job Requisition Number: 23389. UC Berkeley Extension is the continuing education division of the University of California, Berkeley. Extension offers more than 2,000 courses per year in a variety of subjects both online and in the classroom at a variety of locations within the San Francisco Bay Area (e.g the East Bay, San Francisco, and the Peninsula).
?Under general supervision, assists in determine existing and future needs of the audience including identifying course topics, objectives, methods of instruction and locations for program options; and assists in the development of new courses. ?Supports instructors in building course outlines and syllabi and preparing for course delivery. ?Proposes depth and breadth of course content, methodology and format. ?Solicits new course proposals from existing and evaluates, unsolicited course proposals.
Student advising and instructor support
?Under general supervision, assists in determine existing and future needs of the audience including identifying course topics, objectives, methods of instruction and locations for program options; and assists in the development of new courses. ?Supports instructors in building course outlines and syllabi and preparing for course delivery. ?Proposes depth and breadth of course content, methodology and format. ?Solicits new course proposals from existing and evaluates, unsolicited course proposals. ?Works directly with instructors in the international program portfolio to secure academic approval for courses including assisting them in developing their course outlines for the Course and Approval Process. ?Works with Director to identify potential instructors; coordinates instructor interviews, and provides is involved in assessing instructor candidates. ?Monitors presentation/course results through student and participant evaluations; conducts course evaluations utilizing a program-specific online program. ?Creates online surveys as necessary to poll students for feedback and information. ?Monitors results, sends evaluations to instructors and keeps an electronic copy in the appropriate file ?Monitors and evaluates students' completion of academic requirements in all international programs. ?Occasionally meets 1:1 with students to assess participation and eligibility for available programs. ?Applies professional concepts in providing prescriptive advice and assistance to students on academic and certificate progress and requirements for the certificate program. ?Meets with students 1:1 to provide program and academic information. ?Advises students on enrollment of courses and verifies full-time enrollment. ?Assists students in determining proper courses to complete program requirements, scheduling conflicts, and similar issues. ?Applies professional concepts in providing prescriptive advice and assistance to students on certificate programs as needed. Assists in distribution of grade reports and student ID cards, and proctors exams as needed ?Provide administrative and logistical for various international programs. ?Establish and maintain files for courses and instructors. ?Arrange logistical support for courses and programs including instructor and guest lecturer payments, audio-visual equipment, computers, photocopying, textbook orders, catering and support staff/ cashier needs, including word processing of forms and correspondence. ?Cancel courses as necessary. ?Work with staff in Extension, on campus and outside organization to ensure smooth operation of courses and programs.
?Organizes and coordinates student orientations, information sessions, departmental program support activities, instructor orientations and special events. ?Serves as the lead in coordinating PowerPoint presentations and orientation packet handouts between academic and student services department; verifies presentation and handout information for accuracy. ?Conduct presentations, facilitate workshops and information sessions at orientation events; presents program information to incoming students. ?Responds to inquiries from students, potential enrollees, and faculty using all available resources to market the value of UC Extension programs.
Assistance with Internship Program
?Assists internship coordinator with students? files and verification of eligibility for Optional Practical Training for students who successfully complete a yearlong diploma program and internship. ?Occasionally will assist in maintenance of internship program binders and prospective company information. ?As needed and under the direction of the internship coordinator, assists and prepares material for internship orientation, internship company fair, resume and interview workshops. ?Verifies student payment of internship program and reports findings to internship coordinator. ?Tracks required internship documents for current interns. ?Responsible for room requests and AV set-up for internship functions. ?Communicates with companies regarding outstanding internship agreement forms. ?Updates program requirement worksheets, assists and attends evening certificate orientation. ?Updates student information on internal databases and verifies student information on UCBX registration system. ?Verifies course payment and updates course lists as needed. ?Organizes and orders orientation materials in conjunction with departmental review. ?Works with department staff to coordinate orientation logistics. ?With program manager oversight, liaises closely with registration and student services personnel to identify and resolve issues that impact academic quality. ?Verifies student program completion and completes certificate requests for issuance of program certificates. ?In collaboration with the department director completes data entry and tracks pending CIBs to be entered. ?Each term, requests EDPs for evening, internship and IDP programs. ?Processes CIA paperwork for new instructors and follow-ups with financial services on instructor approval. ?Updates, organizes and purges instructor files. ?Ensures integrity of shared departmental data such as student and instructor contact information; course lists and course identification numbers, instructor compensation information, etc.
Financial & Budgeting
?Assists in preparing and reconciling budgets for program as needed. ?Uses UNEX systems to assist with annual budget projections. ?Monitors actual income and expenses compared to course budgets and take action to remain within budget.
?Assist with certificate production requests; verifies certificate information; and answers general certificate inquiries for all programs. ?Assists with the program yearbook as needed. ?Supports the communications specialist with preparation for all diploma program events: including orientation, welcome reception and graduation. ?Communicates and exchanges information with other units at UCBX regarding general academic, programming or instructor hiring questions. ?May assist in preparing and editing brochure copy and other promotional material in coordination with Communications Specialist. ?Implements additional internal/external promotions that may include phone calls, composing letters, mailings and writing and designing desktop flyers. ?Serve as back-up representative on occasion at off-site events; presenting information for purposes of student recruitment. ?Perform off site duties (including occasional evening, early morning, and weekend work) as needed to accomplish departmental program goals.?Working knowledge of departmental and campus policies and procedures; knowledge of educational program content and objectives. ?Working knowledge of delivering public educational programs. ?Working knowledge of current public education programs and trends. ?Working skills to produce and deliver programs. ?Working knowledge of conducting needs assessment. ?Good analytical skills to understand how business needs can be addressed through the design and delivery of training programs. ?Good reading, verbal, written and interpersonal communication skills, and good presentation skills. ?Uses business software systems in completion of assignments (e.g. Word, Excel, Access, Outlook
Education/Training: ?Bachelor's degree in related area and/or equivalent experience/training. Continuing education in related field required. This is a one-year, full time contract position with the possibility of extension.
